Administering & Approving Time Reports (Back Office)

The back-office Time Report view is where administrators review everything drivers register, make corrections, approve entries, and (if you use Fortnox) push approved time to payroll.


You’ll find it under Administration → Time Report.

The page is built around a single, filterable table of time logs.

Summary cards

Across the top, three cards summarize the entries currently shown by your filters:

  • Presence — total worked time.

  • Absence — total time away.

  • Break — total break time.

Use filter controls to narrow the down what you see.

Creating or Editing a Log

Administrators can register time on behalf of staff or correct an existing entry.

  • To create a new entry, click New log.

  • To edit an existing entry, click the row (or its action menu).

The form mirrors the driver app, with two additions:

  • A Staff selector at the top — choose which employee the log belongs to.

  • A Summary box that shows how the time is broken down once a staff member and times are set: Normal time, Overtime, and Extra pay 1 / Extra pay 2 (based on your organization’s Time Report Agreement).

Toggle between Presence and Absence, fill in the fields, and click Save.

Approving Time

Approval is what finalizes a time log. Once approved, the entry is locked for the driver and (if configured) ready to sync to Fortnox.

> Important: You can only approve entries for one employee at a time. The Approve button stays disabled until you have filtered the list to a single staff member. Until then you’ll see the hint *“Select one user to approve logs.”*


To approve:

1. Set the Staff filter to one employee.

2. Tick the checkbox on each entry you want to approve (or the header checkbox to select all shown).

3. Click Approve in the toolbar.


When you approve, Better Truckin’:


  • Calculates Normal time, Overtime, and Extra pay for each entry using the Time Report Agreement.

  • Marks each entry as Approved, recording the time and the approver.

  • Syncs the entries to Fortnox, if Fortnox is connected.

Fortnox Sync & the “Employee ID”

If your organization syncs time to Fortnox, each employee must have a Fortnox employee ID set on their staff record.
