Configuring Supplier Invoices on a Contact

A contact can follow your organization rules, or use its own approval, rejection, and tolerance. Use this when one supplier should be judged differently from the rest.

The checks for account numbers, payment terms, billing address, and proof of delivery stay on the organization. See Setting Up Supplier Invoices (Organization Settings).

In Short

  1. Open Administration → Contacts and the supplier’s contact.

  2. Expand Supplier Invoice.

  3. Set Automatic approval, Approval target status, Automatic rejection, and Send email on reject to Enabled, Disabled, or Global setting.

  4. Fill in Absolute and Percentage only when this supplier needs its own tolerance.

  5. Save the contact.

Opening the supplier’s contact

  1. Go to Administration → Contacts.

  2. Open the supplier’s contact.

  3. Expand Supplier Invoice.

Supplier Invoice on a contact, with Global setting selected

The section is available when supplier invoices are enabled for your organization.

Approval and rejection for this supplier

For each rule, choose Enabled, Disabled, or Global setting. Global setting follows Organization → Settings, and the current organization choice is shown in parentheses.

  • Automatic approval — this supplier’s invoices can be approved on their own when they are matched and meet the requirements.

  • Approval target status — where Approve lands for this supplier. Global setting shows the organization status, such as Approved. The other choices are the same statuses as in organization settings.

  • Automatic rejection — this supplier’s invoices can be rejected on their own when they do not meet the requirements.

  • Send email on reject — when an invoice from this supplier arrived by email and is rejected automatically, the sender gets an email with the reasons.

Tip: Leave the rules on Global setting until this supplier needs a different choice from the rest of the organization.

Tolerance for this supplier

Under Requirements, Tolerance limits how far this supplier’s invoice may differ from the cost of each matched mission or trade order.

  • Absolute — an amount in the supplier invoice currency.

  • Percentage — a percent of the invoiced amount.

Leave both empty to keep the organization tolerance. Fill in one or both to use those limits for this supplier only. The difference must stay inside every limit you set.
